Analyse the prompt first

Before writing, answer three questions: who am I writing to, why am I writing and what information must I include? Underline every content point. If the prompt requires an invitation, explanation and request, all three need to appear.

Simple ruleOne prompt point means at least one complete, developed sentence.

Message structure

  1. A greeting suited to the reader.
  2. The purpose in the first paragraph.
  3. Development of every prompt point.
  4. A request or next step when required.
  5. A closing and signature.

Polish phrases for a formal e-mail

Do not mix registers. After Szanowni Państwo, informal phrases such as Cześć or Trzymaj się are unsuitable.

Temat: spotkanie mieszkańcówSzanowni Państwo,

piszę, ponieważ chciałbym zaprosić mieszkańców naszego budynku na wspólne spotkanie. Odbędzie się ono w sobotę o godzinie 16.00 na podwórku.

Podczas spotkania porozmawiamy o miejscu na rowery i podziale obowiązków. Proszę także przynieść coś do picia lub małą przekąskę. Jeśli pogoda będzie zła, spotkamy się w sali na parterze.

Proszę o potwierdzenie obecności do czwartku.

Z poważaniem
Jan Kowalski

Developing the text

Add a reason, example or result when sentences are too short. Replace Spotkanie będzie w sobotę with Spotkanie odbędzie się w sobotę, ponieważ wtedy większość mieszkańców ma wolny czas.

Link ideas with ponieważ, dlatego, jednak, ponadto, najpierw, później, na zakończenie. This creates a coherent message instead of a list.
